When you ask us for aquote
We will take and retain your title, name, email address, address, contact number. This allows us to send you all the relevant information you need and keep in contact with you.

When you go on to place an order with us
We take yourname and title

Why do we keep the information that you share with us when you ask for a quote or place an order with us?

So we can provide you with future quotations based on your previous build specifications. We also keep the information for warranty purposes.
When you make a payment…
Your payment to us is by cheque or bank transfer and these details are not retained by us.

When you use our website…
Our website does not collect any information on your internet or browser.

When you interact with us on social media…
We use your social media username to allow us to respond to your comments, questions or feedback.

  1. The legal bases we use for handling your personal information

The law on data protection sets out a number of different legal bases under which a company can collect and use someone’s personal data. Coolfreeze uses two legal bases: contract and consent.

Contract
We need your personal information so that we can provide you with the correct quote for your goods and fulfil our contractual obligations to you.

Consent
We will ask for your consent before emailing you offers, news and promotions that we think you might be interested in. We never sell our mailing list and you will only hear from Coolfreeze UK Ltd.

When we send marketing communications and how to unsubscribe

At the time of collecting your personal information…
We will ask for your consent to email you. If your preference is not to receive marketing material, you will be removed from our marketing list.

If you say yes, you can change your mind at any stage by clicking on the unsubscribe link at the bottom of our promotional emails

Coolfreeze UK does not sell its mailing list and you will only ever hear from us.

  1. How we store and keep your personal data safe

We are committed to keeping your personal data safe and secure. Your information is primarily stored on our protected computer system.

  1. How long we retain your personal data

If you have ordered goods or we have provided you with a quote we will retain your data indefinitely.

  1. Who we share your personal data with

We share your details with third party suppliers when you purchase ancillary products e.g. a fridge unit or tail lift.

  1. Correcting inaccurate personal data

We endeavour to keep your personal information up to date. If you find that the information we hold on you is incorrect, or if there has been a change, please let us know so that we can update our records and those of any other parties who have received the inaccurate information.

  • Right to erase your personal data or to stop processing your personal information

If, at any time, you wish to erase your personal data from our records, known as ‘the right to be forgotten’, please send your request to us at Coolfreeze UK Ltd, Unit 1 Beacon Road, Trafford Park, Manchester, M17 1AF. Similarly, if you wish us to stop processing your personal information, please let us know. For example if you want to limit the way we use your data, we will do this as long as we are able to fulfil our contractual obligations to you.

  • Obtaining a copy of your personal data

You have the right to obtain a copy of your own personal data free of charge. To do so, please write to the Privacy Officer at Coolfreeze UK Ltd, Unit 1 Beacon Road, Trafford Park, Manchester, M17 1AF. We will provide you with this as soon as we can, but at the latest within one month of receipt of your request.

  • If you are unhappy with how we have handled your personal data
We are working hard to put the systems and processes in place that are required to look after your personal data and these are under continual review. If you are unhappy in any way at all, please contact us so that we can put matters right.
